Business insurance renewal checklist

Before your business insurance renews, check when cover ends, whether it renews automatically and any deadlines for action. Review changes in your business, compare the proposed cover and total price, then confirm your next arrangements. Check payment terms, claims-reporting requirements and cover for previous work before making a change.

For an existing policy, use the contact details and instructions in your current policy documents. Clearcut provides this review guide, not an existing-policy renewal, amendment or cancellation service.

Start early enough to resolve questions within your actual deadlines. Use these steps and the review record:

  1. Check deadlines.
  2. Gather documents.
  3. Update business details.
  4. Compare cover and costs.
  5. Check switching arrangements.
  6. Confirm the decision.

Check your expiry date, automatic renewal and action deadlines

Check whether renewal requires action from you and what happens if you take no action.

Record actual dates and times

Record each policy’s expiry date and time, proposed start time, deadlines set by the provider and quote expiry. Note any information still requested.

Do not assume every policy ends at midnight or every section has the same dates. Matching calendar dates alone does not resolve all timing or scope questions.

Confirm automatic-renewal status

Check whether automatic renewal applies, which terms it would renew on and whether further action is needed. Verify the status in the actual renewal information rather than relying on the payment method alone.

A live Direct Debit does not, by itself, establish that all renewal conditions are met. If the position is unclear, ask the responsible provider to explain what will happen if you take no action.

Find the correct contact

Use the contact details and instructions in the current policy documents for renewal questions, changes or non-renewal. Contact the responsible insurer or intermediary promptly if a deadline is close or unclear.

If cover may expire before the review is complete, ask the responsible provider what options are available. Do not assume an extension or grace period applies.

Gather your current policy and renewal documents

Keep the current and proposed documents together so you can identify both changed facts and changed terms. Check which versions apply.

Gather:

  • current schedules, which show policy details and selected cover, plus the applicable wording;
  • endorsements, which change the standard terms, and relevant change notices;
  • the statement of fact or proposal, which records the business information supplied;
  • the renewal invitation and proposed new terms;
  • payment, finance and service terms;
  • relevant client contracts or professional requirements;
  • claims, incident and notification records where relevant; and
  • alternative written offers, if already obtained.

A schedule, summary or certificate may not contain every condition. Ask the provider to explain and resolve differences between the documents, and do not treat silence in a renewal summary as confirmation that everything is unchanged.

Review what has changed in your business

Compare the declared business with what it actually does now and what is planned for the next period. Do not wait until renewal to report a change or matter requiring earlier action under the applicable terms.

Work, clients and locations

Check:

  • activities, professional services and occasional work;
  • client sectors, sites and countries;
  • where legal claims could be brought; and
  • new contract or professional requirements.

A broad occupation description does not establish that every new task is insured. Ask how proposed work should be described and whether the policy can cover it.

People, income and assets

Check:

  • employees, casual help, agency workers, subcontractors and associates where relevant;
  • requested turnover, fee income and wage roll (the workforce pay figure requested); and
  • equipment, stock, premises and insured values.

Use the provider’s definitions and periods. Check how the policy values assets when paying a claim. Do not assume a self-employed label settles someone’s insurance treatment. The employees and subcontractors guide covers workforce questions in more detail.

Claims, incidents and circumstances

Review claims, incidents and complaints, plus known problems that could lead to a claim, often called circumstances. Check what needs reporting, to whom and by when. Do not assume telling one organisation satisfies every policy’s notification requirements. Use the appropriate reporting route. Our business insurance claims guide explains the wider process.

When arranging renewal, make a fair presentation of the risk. This generally means clearly disclosing material information the business knows or ought to know. Or, failing that, provide enough information to alert the insurer that further enquiries are needed.

Answering application questions alone may not be enough. Ask the broker or insurer if you are unsure what to disclose.

Our guide to business changes to tell your insurer about explains the ongoing review.

Compare the renewal offer with your current cover

Identify what has been added, removed or changed, rather than comparing only the premium. Review each selected section where a package contains different terms.

Check:

  • insured businesses, activities and locations;
  • sections and extensions selected;
  • cover limits and any smaller limits, called sublimits;
  • aggregation: how several claims may share a limit;
  • how legal defence costs and claimants’ legal costs are covered;
  • excesses or other contributions;
  • exclusions, conditions and endorsements; and
  • relevant dates, countries and courts.

Mark unclear items “not stated; ask”. Missing detail in a summary is not itself proof that cover is included or excluded. Ask for the applicable wording and written clarification.

If comparing alternatives, use the same accurate business information and intended protection. The full business insurance quote comparison checklist provides a reusable comparison checklist. Read about limits and excesses where the mechanics differ. Compulsory employers’ liability protections need separate checking; ordinary excess advice should not simply be transferred to that section.

Compare the full renewal cost and payment terms

Compare the total price for the cover and payment option offered. If the amount has changed, ask what explains it: business information, scope, policy terms, payment arrangements or provider pricing may differ. Do not assume every renewal price rises or that switching guarantees a saving.

Record:

  • the annual-payment total;
  • the initial payment, including any deposit;
  • the amounts and number of later instalments;
  • fees and finance charges;
  • whether the amounts include tax; and
  • the total payable under the actual offer.

A monthly equivalent calculated from an annual price is not necessarily an available payment schedule. Paying monthly does not necessarily mean you have a monthly policy. If a credit agreement is involved, check its term and any balance remaining if the insurance ends early.

Do not assume twelve equal payments or universal interest. Simply Business currently states that monthly instalments involve interest; check the actual agreement and total.

Check package sections before comparing totals, and avoid counting a deposit or charge twice. Our business insurance cost guide covers the wider budget.

Check cancellation and outstanding payments

Non-renewal ends cover at expiry; cancellation ends it during the policy period. Follow the actual terms and instructions for the outcome you intend.

Stopping a Direct Debit does not necessarily cancel the policy or finance agreement. Confirm the cancellation or non-renewal separately from any payments or finance balance still due. Check fees, refunds and notice requirements against the actual agreements.

Check cover before switching or cancelling

Before ending existing arrangements, check the dates, cover for previous work and reporting requirements under both policies.

Confirm replacement cover, not just a quote

Confirm purchase or acceptance, the start time, insured businesses and activities, outstanding conditions and required documents. Check these against the current policy’s end time.

Do not treat an alternative quotation as active insurance. Matching dates does not establish that scope, reporting and previous-work questions are resolved.

Check previous work and notifications

Professional indemnity is commonly claims-made. When a claim is first made against you matters, alongside reporting requirements and other terms. A replacement policy does not automatically preserve protection for every earlier project.

Check whether a retroactive date applies and how it restricts earlier work. Confirm the previous services included.

Check known problems and reporting requirements separately. A policy held when the work was done will not necessarily respond to a claim first made after expiry, although properly notified earlier circumstances can matter under the actual terms.

Follow the reporting requirements promptly rather than assuming switching resolves an emerging problem. Our guides to claims-made and claims-occurring insurance and retroactive dates and run-off cover explain the detailed checks.

If work is stopping or the business is changing

Run-off cover concerns later claims about completed work, subject to its terms. Contractual or professional requirements may also continue after services stop. Discuss relevant arrangements with the responsible provider before assuming cancellation is appropriate.

Availability and terms need checking. There is no universal run-off duration or guarantee that a particular arrangement will be offered.

Confirm your decision, documents and future review date

Complete the review through the responsible provider’s process and keep evidence of what has been arranged.

  1. Resolve important unanswered questions and update the record.
  2. Follow the provider’s renewal, purchase or non-renewal instructions.
  3. Confirm agreed cover, start/end times and payment arrangements.
  4. If switching or ending cover, confirm the intended non-renewal or cancellation and its effective date/time.
  5. Confirm any fees, refund, payments or finance balance still due.
  6. Check issued schedules, wording, endorsements and certificates.
  7. Save the documents and record the next review date and changes requiring another review.

If a confirmation or issued document is unclear, contact the responsible provider.

Use the guides to business insurance records and insurance certificates for detailed storage and access checks. Keep useful older records and check any retention requirements that apply.

Yes. Keep each policy’s dates, deadlines, terms and people responsible for each action clear. A joint review does not mean the dates can be aligned or that doing so would save money. Confirm proposed changes with the relevant provider.
